At Xodralinthon, we are committed to providing high-quality video editing services that meet your expectations. This Return Policy outlines the terms and conditions for refunds, cancellations, and service satisfaction guarantees.
Because our services are customized and delivered digitally, our return policy differs from traditional product returns. Please read this policy carefully before engaging our services.
2. Service Satisfaction Guarantee
We stand behind the quality of our work and strive to ensure your complete satisfaction with our video editing services. If you are not satisfied with the final deliverable, we will work with you to address your concerns within the scope of the agreed-upon revisions.
2.1 Revision Policy
Each service package includes a specified number of revision rounds. During these revisions, we will make reasonable adjustments to the edited content based on your feedback. The number of included revisions varies by package and will be clearly stated in your service agreement.
2.2 Scope of Revisions
Revisions must be within the scope of the original project brief and specifications. Requests that significantly change the project scope, add new elements, or require additional work beyond the original agreement may be subject to additional fees.
3. Refund Eligibility
Refunds may be considered under the following circumstances:
3.1 Service Not Delivered
If we fail to deliver the agreed-upon services within a reasonable timeframe and cannot provide a satisfactory explanation or alternative timeline, you may be eligible for a full or partial refund.
3.2 Technical Issues
If the final deliverable contains significant technical issues that render it unusable and we are unable to correct these issues, you may be eligible for a refund.
3.3 Service Not as Described
If the services provided materially differ from what was described in your service agreement and we cannot rectify the situation, you may be eligible for a partial refund.
3.4 Non-Refundable Situations
Refunds will not be provided in the following situations:
- Change of mind after work has commenced
- Dissatisfaction with creative choices that were approved during the revision process
- Failure to provide necessary materials or feedback in a timely manner
- Requests that fall outside the scope of the original project agreement
- After final approval and delivery of the completed project
- For services that have been fully rendered and delivered according to specifications
4. Cancellation Policy
4.1 Cancellation Before Work Begins
If you cancel your order before we have begun work on your project, you are eligible for a full refund minus any processing fees. To qualify for this refund, you must notify us of the cancellation within 24 hours of placing your order.
4.2 Cancellation After Work Has Commenced
If you cancel your order after we have begun work on your project, refunds will be calculated based on the amount of work completed:
- 0-25% of work completed: 75% refund
- 26-50% of work completed: 50% refund
- 51-75% of work completed: 25% refund
- 76-100% of work completed: No refund
4.3 Cancellation by Xodralinthon
We reserve the right to cancel any project if we determine that we cannot meet your requirements or if there are circumstances that prevent us from completing the work. In such cases, you will receive a full refund for any payments made.
5. Refund Process
5.1 Requesting a Refund
To request a refund, you must contact us in writing via email at mailuse@xodralinthon.world or by mail to our business address. Your refund request should include:
- Your name and contact information
- Order or invoice number
- Detailed explanation of why you are requesting a refund
- Any supporting documentation or evidence
5.2 Refund Review
Once we receive your refund request, we will review it within 5-7 business days. We may contact you to gather additional information or attempt to resolve the issue before processing a refund.
5.3 Refund Processing Time
If your refund is approved, it will be processed within 10-14 business days. The refund will be issued to the original payment method used for the purchase. Please note that depending on your financial institution, it may take additional time for the refund to appear in your account.
5.4 Partial Refunds
In some cases, we may offer a partial refund as a resolution. Partial refunds are calculated based on the work completed, the nature of the issue, and other relevant factors.
6. Project Files and Deliverables
6.1 File Ownership
Upon full payment and project completion, you will receive the final edited video files as specified in your service agreement. You retain ownership of your original footage and the final edited product.
6.2 Source Files
Project source files, including but not limited to editing project files, raw renders, and intermediate files, remain the property of Xodralinthon unless otherwise specified in your service agreement. Source files may be available for an additional fee.
6.3 File Storage
We retain project files for 30 days after final delivery. After this period, files may be deleted from our systems. If you require access to project files after this period, additional fees may apply.
6.4 Re-delivery of Files
If you lose or accidentally delete your final deliverables within 30 days of delivery, we will re-send the files at no charge. After 30 days, a re-delivery fee may apply if the files are still available in our archives.
7. Quality Assurance
7.1 Technical Standards
All deliverables will meet industry-standard technical specifications for video quality, audio quality, and file format compatibility. If you have specific technical requirements, these must be communicated before work begins.
7.2 Error Correction
If you discover technical errors in the final deliverable within 7 days of delivery, we will correct these errors at no additional charge. Technical errors include issues such as audio sync problems, rendering artifacts, or incorrect export settings.
7.3 Creative Differences
Creative differences or subjective preferences regarding style, pacing, or artistic choices are not considered errors and should be addressed during the revision process before final approval.
8. Rush Orders and Expedited Services
Rush order fees and expedited service charges are non-refundable once work has commenced, as these fees compensate for prioritization and accelerated timelines. If we are unable to meet the expedited deadline, the rush fee will be refunded, but standard service fees will still apply.
9. Third-Party Services
If your project requires third-party services such as stock footage, music licensing, or specialized software, these costs are typically non-refundable as they are purchased specifically for your project. We will clearly communicate any third-party costs before proceeding with purchases.
10. Disputes and Resolution
10.1 Communication First
We believe that most issues can be resolved through open communication. If you are unsatisfied with any aspect of our service, please contact us immediately so we can work together to find a solution.
10.2 Mediation
If we cannot resolve a dispute through direct communication, we agree to attempt mediation before pursuing other remedies. Mediation costs will be shared equally between both parties.
10.3 Legal Remedies
Any disputes that cannot be resolved through communication or mediation will be handled in accordance with the dispute resolution procedures outlined in our Terms of Use.
11. Client Responsibilities
To ensure a smooth project and avoid issues that could affect refund eligibility, clients are responsible for:
- Providing clear project requirements and specifications at the outset
- Supplying all necessary materials, footage, and assets in a timely manner
- Responding to requests for feedback and approval within reasonable timeframes
- Reviewing deliverables carefully during revision rounds
- Communicating concerns or issues as soon as they arise
- Providing final approval in writing before considering the project complete
Failure to meet these responsibilities may affect your eligibility for refunds or may result in project delays.
12. Force Majeure
We are not liable for delays or failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to natural disasters, power outages, internet service disruptions, or other force majeure events. In such cases, we will work with you to establish a new timeline or, if necessary, process a refund for work not completed.
13. Modifications to This Policy
We reserve the right to modify this Return Policy at any time. Changes will be effective immediately upon posting to our website. Your continued use of our services after any changes constitutes acceptance of the modified policy. However, any changes will not affect orders placed before the policy change.
